    When to use this file

A file opening successfully is not sufficient for acceptance. This checklist ties every item to evidence, a reviewer and outstanding actions. All items start as Unchecked until actual data is reviewed. Use the file viewer and converter alongside an independent program for sample checks. Adapt it to the contract; it is not a certification or official approval form.

The preview shows the file structure. Observation data is synthetic; a dash means a blank field.

Use the file step by step

    1. Define the delivery scope

Start with the project identity, boundary, version and delivery date. List raw files, processed outputs and required editable source formats. Compare them with the contracted scope before reviewing drawing appearance. A technically valid file may still omit an agreed deliverable.

    2. Review the system, units and heights

Record EPSG or WKT and its source, easting/northing order and distance units. Separate the horizontal system from the vertical datum and height type. If the source is unknown, leave the item open and request its definition. Neither a city name nor a DXF extension identifies a coordinate system.

    3. Check data after opening and conversion

In the viewer check coverage, feature count, point identifiers and attributes. After format conversion check that required points, lines, polygons and layers remain. Some formats cannot carry all source properties. Compare a coordinate sample in an independent program and record the filename and result as evidence.

    4. Record remaining actions and approval

Choose Complete, Needs revision or Not applicable for each item, recording why a check does not apply. Add the reviewer, evidence or report reference and outstanding action. Do not mark an item Complete while a material issue remains open. Record client approval from an actual record; sending a download link is not approval.

    The result to check

The result is a clear record of completed checks, their evidence and outstanding work. Statuses do not change automatically, and project quality is not inferred from a count of closed items.

    Common mistakes to avoid

    • Marking Complete before recording evidence.
    • Treating converted output as a replacement for the raw source.
    • Closing the height check while the vertical datum is unknown.

    Frequently asked questions

Is this an officially approved checklist?

It is a general, customizable GeoGiza workflow aid. Authority requirements, consultant specifications and the contract govern acceptance.

What if the feature count changes after conversion?

Review format warnings, supported geometry types and invalid rows. Retain the source and record the difference before accepting the output.
